Privacy Policy

Colloquia is a private conversational journal. This policy explains what we collect, how it is used, who processes it, how long we keep it, and the control you have over it. We collect the minimum needed to run the service, and we never sell your data or use your journal for advertising.

Audio is never stored

During a session your voice is streamed and processed in real time to produce a written journal entry. Colloquia does not record or retain your audio — there is no audio file to store, download, or leak.

What we collect

• Account. When you sign in with Apple, we receive a stable identifier and, if you choose to share them, your name and email (which may be an Apple private-relay address).
• Your journal content. The generated journal entry, its summary, and the structured details (e.g. people, places, topics) created when you journal, plus a small “memory” we keep to ask you better questions over time.
• Subscription status. Whether you have an active Plus or Pro subscription, and related trial/renewal state, from Apple. We never see your full payment card details — Apple handles all billing.
• Operational data. Limited service logs and first-party app analytics used to run, secure, troubleshoot, and improve the service.
• Website usage. When you visit our website we record standard access information for our own first-party, cookieless analytics. We use this to understand traffic and improve the site; we do not use it to build advertising profiles.

Your entries may sometimes mention other people. You are responsible for having any consent required by law before recording or including someone else’s voice or personal information in Colloquia.

How we use it

We use your data only to provide the service: to run the conversation, generate and store your entries, power search and export, remember useful context for future sessions, manage your subscription, and keep the service reliable and secure.

We do not use your journal content — your audio, entries, summaries, or memory — to train or improve AI or machine-learning models, and the AI providers that process it on our behalf are not permitted to train on it either. We do not use your data for advertising, and we do not sell your data or share it with third parties for their own purposes.

Third parties that process your data

A few trusted providers help us run Colloquia. They act as our processors: they handle your data only to perform services for us, under confidentiality and security obligations, and never for their own purposes.

OpenAI processes your voice and text in real time to power the conversation and to generate your entry. Your audio is not retained, and — like Colloquia — OpenAI does not use your content to train or improve its models.

Apple provides Sign in with Apple and handles all subscription billing.

Cloud hosting and infrastructure providers run our database and backend so your journal can be stored and synced. Your data is held in the encrypted, access-restricted environment described below.

We do not use third-party advertising or cross-app tracking of any kind. Our website analytics are first-party and cookieless — we do not use third-party analytics services.

We may disclose information if required by law or legal process, or where we reasonably believe it is necessary to comply with a legal obligation, enforce our Terms of Service, prevent fraud or abuse, or protect the rights, safety, or security of our users, the public, or Colloquia.

Storage, security, and location

Your stored journal data is held in a managed database that is encrypted at rest, on a private network, with access tightly restricted and traffic encrypted in transit. Each account's data is isolated and reachable only by that signed-in account. Colloquia is operated from the United States and your data is processed in the United States.

You are responsible for keeping your device and account credentials secure. We work hard to protect your data, but no method of transmission or storage is ever completely secure, and we cannot guarantee absolute security.

How long we keep your data

We keep your journal for as long as your account is active so you can revisit it. When you delete an entry, it is removed and the derived “memory” is rebuilt so it can't resurface.

When you delete your account, your data is deleted from our active systems. This includes your entries, summaries, metadata, and memory; we retain only a minimal billing record where required for legal, tax, and accounting purposes.

Deletion from active systems is prompt, but residual copies may persist for a limited time in encrypted backups and routine system logs until they are overwritten or expire on their normal cycle. We do not restore deleted content except as needed to recover from a system failure.

Notifications

Reminders and “your entry is ready” alerts are local notifications scheduled on your device. We do not operate a push-notification server, and enabling them is optional.

Your choices and rights

• Access & export. You can export your entire journal (entries, summaries, and metadata) from within the app at any time.
• Delete. You can delete individual entries, or delete your entire account and its data, from within the app. See Delete your account.
• App Lock. You can require Face ID to open the app, for an extra layer of privacy on your device.
• Requests. To ask about the data associated with your account, email us at [email protected].

Not a medical or mental-health service

Colloquia is not a substitute for therapy, counseling, coaching, medical care, mental-health treatment, diagnosis, or professional advice. The app does not provide clinical services, medical guidance, mental-health guidance, crisis support, or personalized professional recommendations.

Any prompts, reflections, summaries, or other content generated or displayed by Colloquia are intended only to support your own journaling process. You should not rely on Colloquia to make decisions about your health, safety, relationships, finances, legal matters, or other important life circumstances.

Colloquia does not monitor your entries or content in real time or otherwise, cannot detect or respond to emergencies, and will not contact emergency services on your behalf. If you are experiencing a medical or mental-health emergency, are in crisis, or may be at risk of harming yourself or others, do not use Colloquia as a source of help — contact emergency services or a qualified professional immediately.

Children

Colloquia is intended for adults and is not designed for or directed to children, and we do not knowingly collect personal information from children. You must be at least the age of majority where you live to use Colloquia. If you believe a child has provided us with personal information, email us and we will delete it.

Changes

We will update this policy as the product evolves and post the new effective date at the top.
